Sending an email

All you need to know about how to send emails using the pr.co platform

The pr.co Campaign Editor allows you to send out emails alongside your press releases. To send an email, remember it must be attached to an existing press release.

Send an email

  1. Choose the press release you're working with and go to the Timeline stage of the campaign editor. Click + New email.

⚠️ You can only send emails per contact list, so if your contacts span multiple lists, you'll need to send multiple emails. Don't worry, you can use the duplicate function to speed things up!

2. In the new dropdown menu, stages 1 and 2 ask you to choose your contacts. First select the contact list, and then the individual contacts, using the tick boxes.

3. In stage 3 you can choose a name for your email. This in internal only and will not be seen by any email recipients.

4. Stage 4 is where you'll write the email body and adjust the settings you'd like.

a. Sender name. This will be the name connected to your account, but you can manually change.

b. Sender email. Again, the default is the email you used to log in with, but you can manually edit it here.

c. Email layout. Choose from a plain text or a branded layout which comes with personalised styling for your brand. You can also upgrade to include a 'custom layout' which we will design to your requirements. Get in touch for more information.

d. Email body. Write the text of your choice here.

e. Subject line. The default will be the title of your press release but you can manually edit it here.

f. Variables and formatting. Use the formatting here to give interest to your email. You can also include links and images. Use as many variables as you like, but select them from the list rather than writing them out - if the format is incorrect then your email will not send.

⚠️ Attachments need to be added in the press release body, not the email. This is to prevent emails ending up in SPAM.

5. Now decide when your email should be sent out. It can be before, at the same time as, or even after your press release is sent.

6. In the last stage, confirm all the details of your email and choose to add it to the timeline (it will be queued to send at the allocated time) or save it for later. This will save your email as a draft and you'll need to come back to it in order to send it.


Send an email to multiple contact lists

If you need to send an email to contacts that are in different contact lists, then you'll need to send separate emails for each list.

Once you've written your first email, duplicate your email and then you can quickly change the contacts and any other details you wish.


Send a test email

If you want to see what your email will look like before you send it officially, simply follow the steps as if you were sending the email, and when you get to the 4th stage click on the button to Send test email. Enter your email address and wait for mail!
