Here's how to use pr.co's contact management system

What is the CRM

The pr.co CRM comprises of two parts: an address book where are your contacts are stored and managed, and an email sending service that will access your address book when you choose to send an email.


Contact lists

All contacts can be divided into multiple contact lists. You can also look through all contacts together, by clicking on the All Contacts list at the top.


Permissions

You can easily manage permissions for all current users, and every new user you invite to the platform. For each contact you can restrict access and grant or revoke the following permissions:


Contacts within a list

Once you get to the overview page within a contact list, you can;

1. Use the search bar and look up contacts per name, email address, city, country, tags, organization, phone number, etc.

2. Create and save filters. Create a rule, or a set of rules, from which you’ll find a specific segment of your contacts, which you can save as a filter for later use. Here’s an example of a filter that could be useful.

3. Bulk deleting and bulk tagging. You can now easily select a group of contacts and move them to trash all at once. Simply create a filter, select all of the contacts, and bulk delete, or bulk tag them with a tag like ‘inactive’. These can then later be kept out of some distributions, contacted via phone to see if they’re still interested, or you can still use the email address you have on record.


Individual contact page

When you click on one of the contacts - simply by clicking on the email address, or name, it will bring you to an overview of that person.

1. (Custom) fields: As well as all the social information already there, you can add any field to that CRM that’s relevant to you for segmentation. Alternatively you can add a custom field to your organisation when you do a contact import.

2. Timeline: In the middle of the page you’ll find an overview of all the emails that you’ve sent to that contact with pr.co, and how that contact has engaged with those emails. Results display in chronological order.

3. Notes: You can leave notes on a contact within the platform on the top right side. Just type a note for yourself, or for your colleagues, hit enter, and the note will appear including the date that it was added, and by whom it was added.

4. Tags: Add tags to your contacts to use them in filters and make them more easily searchable. These tags could for instance be used to segment contacts per interest during distribution.

5. Unsubscribes: Not sure if a contact unsubscribed? Or would you like to know when he unsubscribed? Unsubscribe information will be nicely stored for each contact in the bottom right corner.


Importing new contacts

To import contacts, simply click on import, drag and drop a .csv or .excel file in pr.co and map the fields in the excel file to match the fields in your CRM. If there are fields in your Excel that aren’t in your CRM, simply add a new field. Once ready, click import, and all contacts should be uploaded in no time.
