Setting up a default email template

Taking a few minutes to set up your email signature and a default message might seem minor, but it can save your team time, ensure consistency, and give your outreach a polished, professional touch. Here's how to do it right in pr.co.

Adding an email signature (per user)

Your email signature is unique to your user profile. This means every team member can add their own personalized sign-off. Here's how:

  1. Go to your Account settings.

  2. Scroll down to the Email signature section.

  3. Paste or type in your signature. You can use HTML if you'd like, but be sure to send a test email to confirm everything displays correctly.


Adding a default email message (per organization)

Setting a default email message helps standardize outreach across your team. This message will be pre-filled when users begin drafting emails to journalists or stakeholders.

  1. Go to Settings & content.

  2. Click on the Email tab.

  3. Write your default message. Do not include your signature here—that's managed at the user level as shown above.

  4. Click Save changes.

  5. Always send a test email to make sure formatting looks good.
