How to upload and store images, videos, PDFs, files, sound clips and more

The Uploads & embeds section is an internal collection of all the files you've uploaded to the PR.co platform for use in media kits, press releases and more.

You can filter by file type or you can use the search options to search for a file.

It's possible to delete files by clicking on the rubbish bin icon to the top right of each file.

💡 If your organisation has multiple countries and/or newsrooms, each will have its own Uploads & embeds section, which allows you to have files specific to that newsroom.


Uploading your assets

You can upload assets via the press release editor, to a media kit, or to the Uploads & embeds section itself. Regardless of where you uploaded the file, it will always display in Uploads & embeds, which can be accessed from the newsroom menu, shown above.


Uploads & embeds officially supports lots of different file types and origins, including image files in JPEG and PNG, GIFs, videos in mp4, sound files from Soundcloud or Spotify, and PDF or word documents.

Follow the steps or video below to upload your assets:

  1. Head to Uploads & embeds. (You can also do this from the release editor or a media kit if you already know where the file is going to be displayed).

  2. Click on +Upload files.

  3. Find the file from your computer and upload. Maximum 36 files at once.

Upload directly into a collection

When you're viewing a collection and upload new images, those images will automatically be added to that collection.

Images uploaded to a collection will also continue to appear in your main image library, making them easy to find from either location.



Organizing your assets

Create collections

Collections help you organize related images into folders, making it easier to manage larger libraries of assets.

To create a collection:

  1. Open Uploads & Embeds.

  2. Click New collection.

  3. Enter a name for your collection.

  4. Save your changes.

You can add existing images to one or more collections at any time.


Embedding your assets

It's also possible to embed your assets to the Media Library if you don't have the original file. Here's an example from Spotify.

  1. Go to the webpage where your embed link sits. This could be a YouTube link, Vimeo etc. Each page will be different, but look for the sharing option, and then choose the link option, not the embed option.


2. Copy the link, and go to Uploads & embeds.

3. Select the option to + Attach embed.

4. In the pop up, add your copied link and a title for your embed.

5. You can now find your embed in the Embeds section of Uploads & embeds.


Adding details to your assets

You can now add additional information to each image to keep your assets organized and properly attributed.

To edit an image:

  1. Open Uploads & Embeds.

  2. Click an image to open its details.

  3. Update any of the following fields:

    • Name – Give your image a clear, recognizable title.

    • Summary – Add a short description or context.

    • Copyright information – Add attribution or usage information.

    • Download permission – Choose whether visitors are allowed to download the image.

  4. Click Save.

These details help provide context for your assets and ensure proper credit is included where needed.


Maximum capacity of the Uploads & Embeds

You will be able to see the latest 1,000 files in Uploads & Embeds. After 1,000 files, as you add new files, older ones will no longer be visible, although they are not lost.

There's a limited capacity in the platform, but we can recover older files if needed. Simply get in touch with our team and we'll be happy to help retrieve them.
